Hosting
We use the Fasthosts hosting platform for this website. When enabled in the current maintenance configuration, our hosting provider collects your public IP address when you access pages on this website. That IP address cannot be used to identify you personally. They will also collect the product identification string known as a User-Agent which is sent by your browser. These details are kept and stored as part of logging for maintenance and debugging purposes, to allow us or them to analyse faults that might occur with the website.

Your data when you contact us
We collect your name, email address, caving club name, and any other details you provide, when you send these to us using our booking or comments form. These details are sent by email to an access officer. Where needed, these details will be shared with our committee members and the indvidual cave wardens to answer your queries, provide the access service, and address any points you raise. Each of these persons can use different email service providers, and each of these providers can use backup systems, which cannot be controlled directly by us.
Wardens and comittee members are advised of the privacy aspects of your data. Further communications that take place between you and any of these individuals are done outside of our systems, and cannot be controlled by our systems. Depending on your request, wardens may need to pass these details to other persons in order to provide access.
We will not transfer any personal data to other third parties except as required by law or law enforcement. We will not sell your personal data for marketing or advertising purposes.
We assure you that your personal data shall only be used for the purposes stated here.
Retention periods
Website debugging logs are kept only as long as needed for maintenance purposes. This time varies according to the current maintenance configuration.
We will keep your personal data while we are providing the access service to you. Beyond that time, we keep details only as long as needed to maintain the access service. In cases where access limitation is applied, portions of your data, such as your name and club name, cannot be deleted until the access status changes. This is due to our accountancy obligations, and to enforce the access terms.

This policy statement may be updated, please check back here for updates. When changes are made to it, we will include the date when it was last changed. If there are any substantial changes to how we will use your personal information, a notice of such changes will be displayed here.
